What documents accompany a lot of metal products

Lot documents confirm quality and make acceptance easier. Here is what a typical set includes and why each document is worth checking.

A lot of metal products is shipped together with its documents. The buyer needs them for incoming inspection, accounting and to confirm the quality of their own products.

The quality document

The main document is the quality certificate, or lot passport. It states the product, grade and standard, lot number, test results — such as chemical composition or conductivity — and the mark of the quality control department.

Marking

Every package — a coil, spool or drum — carries a label, which is used to check the products against the documents at acceptance. For cable products, marking and packaging requirements are set out, among others, in GOST 18690-2012.

Shipping documents

  • The invoice and delivery note for the shipped products
  • A packing list with the number of packages and their weight
  • Transport documents
  • For export, the documents that customs procedures require

What to check at acceptance

  • The lot number on the labels and in the quality certificate
  • The grade, dimensions and weight against the specification
  • The number of packages against the packing list
  • That the packaging and marking are intact

It is best to agree the list of documents for a specific delivery in advance, together with the specification to the contract.
